Hazeldene Medical Centre is looking for a GP Receptionist/Administrator to join their team, experience in the same or similar role is desired and knowledge of EMIS Web is not essential as training will be given.

We are looking for someone who understands the importance of being sensitive, maintaining confidentiality and being a patent advocate. Who is able to maintain a calm and focused outlook when dealing with difficult and stressful situations.

The practice was rated as GOOD by the Care Quality Commission (CQC).

The practice operates from 4 sites Hazeldene Medical Centre, The Eagle Eye, Crest Medical Centre & Chamberlayne Road Surgery.

All staff are employed across the practice and can be asked to work at either site

Responsibilities:

  • Front of House reception services.
  • Answer telephone calls in a polite and professional manner.
  • Book, amend and cancel appointments using EMIS Web.
  • Manage patient and third party requests in a timely manner.
  • Liaise with clinical staff, GP's and management to meet patients needs.
  • Input patient information accurately using in-house systems.
  • Review, process and scan documents.
  • Internal audits.
  • Various administration duties allocated by senior staff.
  • IT literate - knowledge of Microsoft Office.

Roles and Responsibilities:

  • Assist the complainant through the formal complaint process.
  • By effectively communicating with complainant by mail, phone, or in person, you are providing excellent customer service while adhering to our service standards.
  • Responsible for investigating and resolving all stages of complaints fairly and impartially.
  • Recognise and resolve complaints by managing high-quality responses.
  • Responsible for a wide variety of cases. It is desirable that you have a good understanding of the legal processes for handling health care complaints.
  • Take responsibility for a complaint from start to finish and ensure that the complainant is kept informed of the status.
  • Analyse complaints to determine their severity and complexity and follow an appropriate resolution process.
  • Ensure that documentation and evidence to assist in the investigation of complaints are kept in an appropriate format.
  • Handle sensitive and confidential information.
  • Work well under pressure, prioritise a varied workload and meet strict deadlines.
  • Handle administration tasks as required, ensure high-level documentation and record keeping, scan and attach documents, saving documents and ensure important deadlines are met.
  • Experience in answering complaint calls, receiving emails, good writing quality and monitoring of administrative processes.
  • Investigate and summarise complex issues.
  • Handling of private letters, dealing with insurance forms and significant events procedures.
  • Generating invoices and tracking payments.
  • Record, log and monitor the progress of Cases.
  • You have prior experience in healthcare and knowledge of the NHS Complaint Process is desirable.
  • Duty to write accurate and compassionate letters.
  • Have the ability to be assertive when necessary, say no if necessary and remain calm, be professional and sensitive at all times.
  • Most importantly, you ensure that every complaint is heard, understood, considered, responded to appropriately, and learned.

You should apply if you:

  • Are a UK resident and currently living in the UK.
  • Have the right to work in the UK - an offer of employment is subject to satisfactory proof of this.
  • Are educated to a Humanity, Science, English literature, Psychology degree level or have equivalent experience.
  • Have good level of computer literacy, particularly in the use of word and excel documents.
  • Are experienced in an administrative or clinical position (desirable).
  • Are great at explaining things to people, and have flawless written English.
  • Have excellent customer service.
  • Are well organised.
  • Effective written, oral and interpersonal communication and negotiation skills.
  • Have the ability to analyse information, report writing and presentation skills.
  • Be able to demonstrate well developed skills in negotiation, problem solving and drafting.
  • Have good time management.
